This company now has an exciting vacancy within the Executive team based at their Head Office in Merton. The focus of the role will be to effectively and efficiently support the Directors and Senior Managers across the business. Due to the nature of the role you must be able to demonstrate that you are used to working with confidential information and can offer proactive and organised support.

Responsibilities:

- Some of the primary duties are listed below but this is not exhaustive and there will be a need to be flexible -
- Responsible for providing a full range of executive and administrative support, to all the London Directors.
- Responsible for coordinating, logging, and maintaining the correspondence related to Transport for London (TfL), including tenders, contracts and correspondence.
- Manage and co-ordinate efficiently and effectively diaries for Directors ensuring that diary management is sensible and realistic in terms of timing and travel.
- Arrange, coordinate and planning travel, tickets and accommodation for the Directors and any other Head Office staff if required, using the group approved travel provider.
- Prepare itinerary for external meetings ensuring that all relevant documents and travel information is provided together with an information pack relating to the meeting attendees and business.
- Support the collation and preparation of the Board Report and Corporate Plan.
- As requested undertake event managements - this may include researching and arranging venues for meetings/events and taking notes or typing up minutes after the event.
- Respond professionally and politely to all incoming telephone and visitor calls.
- Responsible for building strong working relationships with directors and employees, equally important is the relationship with the external stakeholders, companies and the TfL.

Qualifications:

They are looking for an individual who has experience of supporting a senior team and who can quickly build strong working relationships across the business. It is a small team and you must be able to work with others cohesively. You will be familiar with the Microsoft suite including Excel and PowerPoint. Essentially you must be proactive, be good with people and at all times remain calm under pressure.

The minimum salary will be £27,500 plus additional benefits including 25 days' holiday and travel pass.
